Understand your right to request deletion of your personal data and how to submit a formal data deletion request to our institution.
Under applicable data protection laws — including provisions mirroring the principles of GDPR and India's Digital Personal Data Protection Act, 2023 — you have the right to request deletion of your personal data that we hold. This right (sometimes called the "right to be forgotten") allows you to request erasure when: • The data is no longer necessary for the purpose it was collected • You withdraw the consent on which the processing is based • You object to the processing and there are no overriding legitimate grounds • The personal data has been unlawfully processed • The data must be erased to comply with a legal obligation
Upon a valid verified request, we can delete or anonymise the following: ACCOUNT & PROFILE DATA • Online account credentials and login information • Profile photographs and personal preferences • Communication history and support tickets CONTACT & PERSONAL DATA • Email addresses and phone numbers (where not required for official records) • Postal addresses provided for non-essential purposes • Parent / guardian contact details (where no longer required) ACTIVITY DATA • Website usage and browsing history on our platform • Cookie data and tracking identifiers • Non-essential preference and personalisation data
Certain data must be retained by law or for legitimate institutional purposes and cannot be deleted upon request: LEGALLY REQUIRED RETENTION • Academic records, transcripts, and degree certificates (retained per UGC guidelines — typically 30 years or permanently) • Examination records, mark sheets, and result histories • Admission and enrolment records required for regulatory compliance • Financial transaction records under the Income Tax Act and GST regulations • Records required under the Right to Education Act INSTITUTIONAL PURPOSES • Records needed to resolve ongoing academic disputes or legal proceedings • Data required to protect the rights and interests of other students or staff • Anonymised or aggregated data that cannot identify you personally If your request includes data in these categories, we will notify you and explain why deletion is not possible for that specific data.
You can submit a data deletion request via: ONLINE Use the Data Deletion Request Form on this page (below). EMAIL Send a request to privacy@[college].edu.in with the subject line "Data Deletion Request" and include: • Your full name and enrolment / employee number • Your registered email address • The specific data you wish to have deleted • A copy of a valid government-issued photo identity document IN PERSON Visit the Administrative Office with a valid photo ID during working hours. Monday – Friday · 10:00 AM – 4:00 PM We will acknowledge your request within 72 hours and provide a final response within 30 days.
To protect your data and prevent unauthorised deletion requests, we must verify your identity before processing. You will be asked to: • Provide your full registered name and identification number • Verify your registered email address or mobile number via OTP • Submit a copy of a valid government-issued photo ID — Aadhaar, PAN, Passport, or Driving Licence If we cannot verify your identity, we may be unable to process your request. This safeguard ensures your data is not deleted by unauthorised individuals.
Once your deletion request is verified, here is what to expect: Step 1 — Acknowledgment (Within 72 hours) We send a confirmation email acknowledging receipt of your request with a reference ID. Step 2 — Review & Assessment (Within 15 days) We review the request, identify what can and cannot be deleted, and notify you of any exemptions that apply. Step 3 — Deletion & Confirmation (Within 30 days) Eligible data is permanently deleted or anonymised. We send a confirmation email once the process is complete. In complex cases the response period may be extended by an additional 30 days (60 days total). You will be notified if this extension is required.
Please be aware of the following before submitting a deletion request: • Deletion of account data results in permanent loss of access to our student / faculty portal • Any personalised settings or preferences will be permanently removed • You may lose access to digital services, library resources, and online course materials linked to your account • Deleted data cannot be recovered once the process is complete • Academic records (transcripts, degrees, certificates) will NOT be deleted — they remain on file as required by law We strongly recommend downloading any personal documents, academic records, or correspondence before submitting a request.
